Ultra Wellness Limited (registered in England, company number 15921883) decides how your personal information is used. In this notice, “we” and “us” mean Ultra Wellness Limited. We are at 5 Victoria Road, Chelmsford CM1 1NZ. You can contact us at [email protected] or on 01245 922242.
We use this to provide your treatment safely, take payment and manage your appointments. Our legal basis is our contract with you and, for health information, providing health care and keeping you safe, with your explicit consent where we ask for it.
If you message us by WhatsApp, email, phone or social media, we keep your message and contact details so we can answer you and arrange bookings.
If you join our waitlist for chiropractic care, we collect your name, email address and, if you choose to give them, your mobile number and the areas you would like help with. We use this only to tell you when chiropractic bookings open and to answer your questions about it. We ask for your consent on the form, and you can withdraw it at any time by emailing us, after which we will remove you from the list. We delete the waitlist once bookings have opened and everyone on it has been told.
We collect the buyer’s and recipient’s names and emails and the date a voucher should be sent, so we can deliver and redeem it.
If you have asked to hear from us, or you are an existing client, we may send you news and offers. You can unsubscribe at any time using the link in any email or by telling us.
We use cookies and similar tools to run the site and understand how it is used. See our Cookie policy.
If you ask about renting or buying equipment, we keep your name, contact details and what you are looking for so we can reply.
We do not sell your data. We use Zenoti as our booking, payment and client record system, and it holds your booking and client details on our behalf. Our waitlist form is provided by Tally (tally.so), which holds your sign-up details on our behalf. If you message us on WhatsApp, your messages pass through WhatsApp, which is run by Meta. We may also share information where the law requires it, for example with regulators or the police.
We keep your records until you ask us to delete them, unless the law requires us to keep something for longer (for example accounting records).
You can ask us to show you what we hold about you, correct it, delete it, restrict or object to how we use it, or move it to another provider. You can also withdraw consent at any time. To do any of these, email [email protected]. We will reply within one month.
If you are unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Your records are held in secure systems, and only staff who need them can see them. If there is a serious data breach, we report it to the ICO within 72 hours where the law requires.
If we change this notice, we will update the date at the top.
